How do tracked deliveries work?

A tracked delivery keeps goods reserved for the receiver while the carrier picks them up, carries them and records the temperature. The receiver confirms, disputes are decided by your company, and then you hand the goods over.

A tracked delivery follows goods from the sender to the receiver, step by step. The quantity stays reserved for the receiver while it is on its way: the carrier records the pick-up, the trip and the temperature, the receiver confirms it arrived, and only then do the goods change hands. It is offered while the lot rule Delivery tracking with temperature control is in force on your ledger, in Settings → Lot rules.

What a tracked delivery is

A tracked delivery names a lot, a quantity, a receiver, a carrier, the temperature range agreed (lowest and highest, in °C) and the waybill or consignment note. Only a fingerprint of the waybill number is recorded. While the delivery is under way, the sender cannot deliver, process or remove the reserved units elsewhere. The ledger records who recorded each step and when; it does not check the goods themselves.

Who does each step

Each step is sent from the account of the party that does it. The form asks for it, for example Sent from the carrier's account, and fills in the account the delivery names when it is in your directory.

Every step is a proposal that a member approves in Proposals before it is recorded.

Schedule a tracked delivery

  1. Open Deliveries and the Tracked tab.
  2. Choose Schedule a tracked delivery.
  3. Choose the lot, the quantity, the receiver, the carrier, the lowest and highest temperature and the waybill, and the account it is sent from.
  4. Choose Propose. Once approved, the delivery shows as Scheduled.

The next steps are in the menu of its row. You can also schedule one from the lot's page, under Lot rules and add-ons.

Temperature readings

The carrier records a temperature with Record a temperature. A sensor or a logistics provider can record them too, once your company allows its account with Let an account record temperatures in Settings → Lot rules. A reading outside the agreed range is kept as it is, and the delivery shows Temperature outside the range. The lot's page lists every reading with its time.

Disputes, and who decides

The sender or the receiver can dispute a delivery until it is completed, with a reason: damaged goods, quantity short, late, temperature out of range or other. Your company decides, in Deliveries with Decide the dispute: accepted, the goods can go to the receiver; returned, they stay with the sender. The decision names a report or letter number and is approved by the owner like every change of the lot rules.

Hand over once delivered

When the receiver has confirmed, choose Hand over on the delivery's row in Deliveries. It prepares a delivery of exactly that quantity of that lot, from the sender's account to the receiver's, that names the tracked delivery it completes. Once it is approved, the tracked delivery shows Completed. A delivery that does not match, or one not yet confirmed, is refused with the reason.

  • Units under a legal hold can't be scheduled: schedule at most the free units, or wait until the hold is lifted. See legal holds.
  • If a move by legal order takes units a delivery reserved, the delivery shows Units taken by a legal order. Cancel it, or dispute it and decide.
  • While all deliveries are stopped, the steps of a tracked delivery are still recorded, but nothing is handed over until deliveries resume. See stop all deliveries.
