Who can change a lot's status?

Only the company that registered a lot changes its status, also after the lot was delivered to you. What you see as the holder, what you can do, and who changes the status of your own lots.

A lot's status (Available, On hold, Unfit or Closed) belongs to the company that registered the lot on its ledger. That company can change it at any time, also after the lot was delivered to you. Holding the goods does not give you the right to change their status.

The company that registered the lot decides

Every lot is registered by one company, on that company's ledger. Only that company can put the lot on hold, mark it unfit, close it or release it again, wherever the lot is now. The change applies to the whole lot, including the quantity your company holds. Your company is not asked first.

For a lot you received, that is the supplier in the From column of Lots ▸ Received.

Why it works this way

A lot's status says whether the goods may still move. When an inspector, a warehouse or an authority declares a lot unfit after a failed analysis, contamination or damage, the stop must reach every quantity of it at once, wherever it is. If each holder could keep its part available, a lot declared unfit could keep moving. The rule is the same for every company: your own lots work the same way for your customers.

Every change is recorded on the ledger with its reason and date, and it cannot be erased.

What you see on a lot you received

In Lots ▸ Received, a lot shows a Recall tag when its supplier sends you a recall or withdrawal notice for it. Open the notice to see what to do. See Recalls.

A status change without a notice does not show in that list. When in doubt, ask the supplier.

  • Closed: the lot can never move again on the supplier's ledger, and it cannot be reopened. Its history stays traceable.
  • On hold or Unfit: the supplier has stopped the lot. Ask why and what it means for the goods you hold.

A lot you registered from a received lot is your own lot: its status changes only when your company changes it. If the supplier stopped the lot it came from, decide whether to put yours on hold too.

What you can do

  1. Contact the supplier and ask for the reason, for example the inspection or the lab result.
  2. Find the lot in Lots ▸ Received and select Evidence to see what the supplier shares about it, such as lab results and certificates.
  3. If the goods are affected, put the lots you registered from it on hold. See Change a lot's status.

Who changes the status of your own lots

In your company, a person whose role may propose actions uses Change status on the lot's page: Owner, Admin and Operator, or a custom role that keeps Propose actions (deliveries, records, changes). The change then waits in Approvals until someone who may approve confirms it. See Who can approve and Roles.

Companies that hold your lot are not asked first. When you stop a lot that others hold, tell them why; for a recall, Start recall in Traceability & recall sends them a notice.
